Privacy Policy

1. Who we are
Alka Systems (“Alka Systems,” “we,” “us”) operates dispatch response infrastructure for United States home-service operators. You can reach us at ops@alkasystems.com for any question covered by this policy.
2. What this policy covers
This policy describes how we collect, use, share, and protect information when you (a) visit alkasystems.com, (b) submit a pilot request form, (c) book a walkthrough, or (d) engage Alka Systems as an operator. When we process information on behalf of an operator (their callers, their SMS traffic), we act as a service provider under CCPA/CPRA and a processor under applicable state privacy laws.
3. Information we collect
We collect the following categories of information:
- Contact and business information that you submit via our forms: name, company, email address, phone number, trade, and current dispatch tool.
- Call and SMS metadata for operator accounts: phone numbers (caller and callee), timestamps, call duration, disposition, and verified recordings where legally permitted.
- Technical information automatically collected when you visit the site: IP address, browser type, referring page, and pages viewed. We do not use third-party advertising cookies.
4. How we use this information
- To respond to pilot requests and scheduled walkthroughs.
- To provision voice and SMS infrastructure on behalf of operators.
- To deliver verified dispatch logs, compliance records, and SLA reports.
- To meet legal obligations under TCPA, FCC §64.1200, and A2P 10DLC rules.
- To improve the accuracy and reliability of our voice response systems.
5. TCPA, consent, and recording disclosures
Alka Systems responds to inbound missed calls on behalf of operators who have provided their business number to the caller in the ordinary course of business. We do not conduct AI-driven cold outbound calling. When we return a missed call, the call is recorded with disclosure at the start of the conversation, and consent is logged per TCPA requirements. If a caller declines consent, the call is routed to a human queue or professional voicemail without further automated interaction.
SMS traffic originates from numbers registered under A2P 10DLC. Every initial SMS includes the operator’s identity and a clear method to opt out by replying STOP. Opt-out requests are honored immediately and permanently.
6. When we share information
We share information only in the following circumstances:
- With the operator on whose behalf a call or SMS is processed.
- With vetted subprocessors who provide infrastructure on our behalf: Twilio (voice and SMS transport), the operator’s own CRM provider (ServiceTitan, Housecall Pro, Jobber, or FieldEdge), and Vercel (website hosting).
- When legally required: subpoena, court order, or other valid legal process. We notify affected operators unless prohibited by law.
We do not sell personal information. We do not share personal information with advertising networks or data brokers.
7. Data retention
Pilot form submissions are retained for eighteen months, then purged unless an active engagement requires ongoing retention. Call recordings and SMS transcripts for operator accounts are retained per the operator’s written policy, defaulting to thirteen months. Verified dispatch logs are archived for seven years to meet business-record obligations.
8. Your rights
Depending on the state in which you reside, you may have the right to request access to, correction of, or deletion of your personal information, as well as the right to opt out of certain processing. To exercise any of these rights, email ops@alkasystems.com. We respond to verified requests within forty-five days.
9. Security
We transport all data over TLS. Credentials and secrets are stored in encrypted vaults. Access to operator data is limited to personnel with a documented need. We maintain a written incident-response plan and notify affected parties of any material breach within seventy-two hours of confirmed compromise.
10. Changes to this policy
We may revise this policy from time to time. Material changes will be posted on this page with a revised effective date. Continued use of our services after a revision constitutes acceptance of the revised policy.
